Client agreement summary

This page is a summary, not the agreement, and it is not legal advice. The agreement itself has not yet been reviewed by a lawyer; one will read it before our first paying client. Take your own advice before you sign anything, and read the document we send you rather than relying on this page.

1. The Agreement Is a Separate Document

Before any service starts, we send you the agreement in writing and both sides sign it. It names your business, the service you are buying and the start date. If this summary and the signed agreement ever differ, the signed agreement is the one that counts.

2. What We Agree to Do

The agreement covers the service you have chosen, described in plain terms: Install — we switch on the answering feature in the software you already use and configure it properly — or Answer, where a phone line we set up picks up the calls you miss. Follow-up, outbound follow-up by text, is not offered yet; nothing we run sends a text message today.

The scope is whatever the agreement describes. Anything beyond it is quoted in writing and added to the agreement by email before it starts.

3. You Approve the Greeting Before the Line Goes Live

We write the greeting for your line and send it to you. Nothing goes live until you approve it in writing. In its first sentence the assistant says that it is an AI assistant and, where recording is switched on, that the call is recorded. You agree not to ask us to remove either statement.

The agreement also sets out what the assistant never does: it does not quote prices, promise arrival times, cancel or change jobs, give medical or legal advice, or claim to be a person. We do not serve medical, dental or other health businesses.

4. Recording Is Your Choice

You decide whether your line records calls. Arizona allows a call to be recorded with one party's consent, and the assistant announces recording when it is on. You can have the line record nothing at all.

5. How Long Call Records Are Kept

Recordings and transcripts are kept for 90 days by default, so we can find out what went wrong when something does, and are then deleted. Ask and we will keep them for a shorter period, or not record at all. Our Data Processing Addendum sets out the rest of how we handle data on your behalf.

6. What You Are Responsible For

You tell us where your customers are, because the greeting depends on it — if you start taking work across a state line, tell us first. You keep your own accounts, phone numbers and call forwarding current. You are responsible for the instructions you give the assistant: your wording, your hours, the order in which people should be reached in an emergency. Any notice your own business owes its customers is yours to give.

7. What Stays Yours

Your phone number, your software accounts and your customers' details are yours. During an Install we never hold your logins — the setup happens on a screen share with you typing. Where you connect your scheduling software to our system, the credentials for that connection are stored encrypted. We never ask for a Social Security number or card details.

8. Cancelling

Either side can end the agreement with 30 days' written notice; email counts. There is no lock-in and no cancellation fee. Turning off your call forwarding stops the service immediately and you never need us to do it. When the agreement ends we turn off the line, hand back anything of yours and delete recordings within 30 days.

9. The Rest of It

The agreement also covers confidentiality in both directions, the limit on what we are responsible for when software answering a telephone mishears or a call is missed, and how changes are agreed. It is governed by the law of the State of Arizona.
